Data retention policy
Caravan data pertaining to the customer (e.g. meeting notes) will be available or download upon termination or completion of the service (free of charge). Except as otherwise agreed the customer will have 30 days to download such data before it is deleted and, thereafter, all such customer data (including backups) will be cycled out of the SaaS system and deleted immediately.
Data archiving and removal policy
Caravan will archive customer data that has not been active in the past 6 months, and will delete all customer data, including backups, for customer that have not been active in the past 15 months.
Data storage policy
Caravan follows the following guidelines for data storage:
1)) Data will be stored in as few places as possible and duplicated only when necessary. Unless absolutely necessary, data should be stored on central administrative systems only.
2) Data will not be stored in “Silo” databases
3) Data files will be inventoried every 2 weeks, and purged or deleted in a timely manner, as required.
4) If the data are considered 'expired', they are to be preserved until their official retention period has been met and then purged or deleted.
5) Transmission of any sensitive data i encrypted. Websites use HTTPS or SSL encryption if they
