Data retention policy
RawBot Inc. will only collect the data needed for the operation of BirthdayBot, such as: - employee birthday and anniversary data ; - the configured workspace settings (holidays, notification rules, etc.); We follow the OWASP best practices and encrypt data (both at rest and in transit). We do not store any data that we don’t need for our operations.
Data archiving and removal policy
RawBot Inc. will automatically delete all data related to the Slack workspace 12 months after BirthdayBot is removed from the Slack team.

Our implementation does not enable data retention within OpenAI. Each conversation is processed as a standalone interaction.
LLM data tenancy policy
BirthdayBot uses OpenAI's API. Conversation data is processed on OpenAI's servers. We only pass the minimum required user data to process birthday-related requests, with no persistent storage of conversation content on OpenAI servers.
LLM data residency policy
Data is processed by OpenAI according to their standard API data processing practices. No user conversation data is stored permanently beyond the immediate session required to generate responses to queries.

Data deletion request procedure
Please email us at privacy@raw.bot with your request for data deletion. Data deletion requests related to the whole Slack workspace may require additional confirmation that: a) the app is no longer used by the workspace; b) the request comes from the user who is a workspace administrator.
