Manage channels shared with external organizations

By default, Workspace Owners and Admins on the Standard and Plus plans, and Org Owners and Admins on the Enterprise Grid plan can manage channels shared with external organizations. Members who have been granted permission can also manage these channels.

Actions you can take to manage shared channels

Note: Channels shared before June 24, 2020 are limited to two organizations by default, but members with permission to manage shared channels can allow additional organizations to join.


Approve or deny requests to share channels

By default, when an invitation to share a channel has been accepted, the pending request is sent to the organization that owns the channel for approval. If the person who accepted the invitation doesn’t have permission to manage shared channels, the request may also need to be approved by someone from the invited organization who does. Anyone with permission can approve or deny requests using the steps below.

Tip: If you’d like, you can automatically approve requests from specific organizations you expect to continue working with in the future.

  1. From your desktop, click your workspace name in the top left.
  2. Select Settings & administration from the menu, then click Manage shared channels.
  3. Click the Requests tab on the left.
  4. Select Approve or Deny next to the channel name. 

An invitation to a share channel will expire if it's not accepted and approved within seven days. Expired invitations will display below any pending requests.


Automatically approve requests to share channels

If you expect to continue working with an organization in multiple shared channels, you can automatically approve future requests, allowing you to skip the step of approving every request to share a channel with that organization. Requests to share channels may still need approval from the other organization, depending on that organization's settings. If you change your mind, you can turn off automatic approval for an organization at any time.

Note: This feature is currently only available on the Standard and Plus plans, but will be coming soon to the Enterprise Grid plan.

Turn on automatic approval

  1. From your desktop, click your workspace name in the top left.
  2. Select Settings & administration from the menu, then click Manage shared channels.
  3. Select the Organizations tab on the left.
  4. Next to the organization you'd like to automatically approve, click the
     three dots icon.
  5. Select Approve automatically, then click Approve to confirm.


Turn off automatic approval

  1. From your desktop, click your workspace name in the top left.
  2. Select Settings & administration from the menu, then click Manage shared channels.
  3. Select the Organizations tab on the left.
  4. Next to the organization you’d like to turn off automatic approval for, click the  three dots icon.
  5. Select Turn off automatic approvals, then click Turn off to confirm.


Revoke invitations to share channels

If you've changed your mind about an invitation to share a channel before it's been accepted, you can revoke the invitation using the steps below.

  1. From your desktop, click your workspace name in the top left.
  2. Select Settings & administration from the menu, then click Manage shared channels.
  3. Click the Pending invitations tab on the left.
  4. Next to the channel name, click Revoke.
  5. Click Revoke to confirm.

Tip: To revoke all pending invitations for your workspace, click Revoke all in the bottom right.


View all channels shared with other organizations

To view a list of all the channels your organization shares with external organizations, use the steps below.

Standard and Plus plans

Enterprise Grid plan

  1. From your desktop, click your workspace name in the top left.
  2. Select Settings & administration from the menu, then click Manage shared channels.
  3. Select the Organizations tab on the left.
  4. Next to an organization name, click the  three dots icon.
  5. Select View shared channels.

Org level

Org Owners and Org Admins can see all the channels that workspaces in their Enterprise Grid org share with external organizations.

  1. From your desktop, click your workspace name in the top left.
  2. Select Settings & administration from the menu, then click Organization settings.
  3. Click  Channels in the left sidebar, then select External Sharing.

Workspace level

Workspace Owners and Workspace Admins can see all channels shared with external organizations in workspaces they manage.

  1. From your desktop, click your workspace name in the top left.
  2. Select Settings & administration from the menu, then click Manage shared channels.
  3. Select the Organizations tab on the left.
  4. Next to an organization name, click the  three dots icon.
  5. Select View shared channels.

Note: If your organization shares private channels with external organizations, you’ll only see the names of private channels you're a member of.


Stop sharing a channel 

There are three options to stop sharing a channel:

  • StandardPlus, and Enterprise Grid plans
